Job Description

The Order to Delivery Specialist is responsible for ensuring the accuracy and intricacies by managing all orders for client(s) assigned to this position. The specialist will be accountable for meeting all requirements and service level agreements for those orders.

  • Originate all vehicle ordering by analyzing the Vehicle Lease Order (VLO) and the information in the VA App. Enter in any missing information and validate all other order details, including client specific title and registration instructions.
    Analyze individual orders to verify compliance with customer specifications as well as ensuring compatibility with
  • manufacturer; including verification of client specific colors.
  • Identify delivering dealers that match requirements based on geography and service levels as specified by the client. Update and maintain dealer files, analyzing dealer location, negotiate courtesy delivery fee, customer service rating and services available.
  • Process final approval of orders before transmission to the manufacturer. After transmission to manufacturer, check and review order acknowledgements for discrepancies with client’s specifications and process corrections if needed.
  • Act as liaison with the Client Service Department, manufacturer, client(s) and ordering dealer to resolve any issues with client(s) vehicles. This includes; mis-built, damaged, and stolen vehicles.
  • Process open order changes on assigned client(s)orders ; including options, colors and corrections of driver names and/or addresses. Verify that courtesy delivering dealer does not need to be changed. Verify that the manufacturer has accepted the change.
  • Review, update and work status exception report for assigned client(s) orders, covering all order to delivery statuses.
  • Monitor reject, status edits and exception queues to ensure assigned client(s) orders are placed with the manufacturers correctly.
  • Assist account management with unassigned client(s) vehicles.
  • Participate in status calls with the client(s) and manufacturers.
  • Work closely with dealer to ensure successful delivery to driver.
  • Work all order to delivery Response Plan tickets pertaining to assigned client(s) orders.
  • Provide phone coverage for incoming calls by logging in to Vehicle Acquisition Department hunt group.
  • Assist ordering and delivery team in down time as needed.
  • Communicate with co-workers, team members, management, clients and others in a courteous and professional manner.
  • Conform with and abide by all regulations, policies, work procedures and instructions.
  • Demonstrate reliable and predictable attendance.
  • Other duties assigned to ensure overall departmental efficiency.

Education: Minimum Associates Degree preferred or appropriate work experience.
Experience: Minimum of 1 year of experience ordering fleet vehicles.  Familiar with unit pricing and manufacturer ordering option guides.
Skills: Able to handle multiple tasks simultaneously.  High level of concentration and keen attention to detail.  Problem solver, good nogitiating skills and maintain objective view when dealing with dealers and manufacturers
